How to Convert a PDF Table or Bank Statement to Excel

Convert bank statements, GST invoices and tables from PDF to Excel. When the free converter is enough and when you need OCR.

Bank statements, GST invoices, price lists and mark sheets usually arrive as PDFs. To total expenses, match payments for your ITR, reconcile with your accounting software or simply sort by date, you need the data in Excel. Copying from a PDF and pasting into a spreadsheet usually dumps everything into one column. This guide explains the right way to convert PDF tables to Excel, the difference between digital and scanned PDFs, and how to clean up the result.

First: is your PDF digital or scanned?

This decides which tool you need. Open the PDF and try to select a word with your mouse or by long-pressing on your phone.

  • You can select text: it is a digital PDF. Statements downloaded from net banking, e-invoices and system-generated reports are almost always digital. The free PDF to Excel tool reads the text directly in your browser, without uploading the file.
  • You cannot select anything: it is a scanned PDF, basically a photo of the page. A printed statement that was scanned, or a photo of a bill, needs OCR. Use Convert to Excel (OCR), which recognises the text and table structure on our server.

Unlock the statement first

Banks usually protect statement PDFs with a password, often a combination of part of your name and your date of birth or customer ID, as described in the email from your bank. Conversion tools cannot read a locked file. Open the Unlock PDF tool, enter the password you received, and download the unlocked copy. Keep the unlocked copy private and delete it when you no longer need it, or lock it again later with Protect PDF; our guide on password-protecting PDFs explains how.

Converting a digital PDF

  1. Open PDF to Excel and select the unlocked PDF.
  2. The tool detects text positions and groups them into rows and columns.
  3. Download the .xlsx file and open it in Excel, Google Sheets or LibreOffice Calc.

Because it works from the text positions in the file, results are best for clean tables with clear columns, which is how most bank statements are laid out. The tool is marked as approximate: complex layouts with merged cells, multi-line descriptions or several tables side by side may need some manual adjustment.

Converting a scanned PDF or photo

  1. Make sure the scan is straight and sharp. Crop away anything outside the table.
  2. Open Convert to Excel, upload the file and choose the language.
  3. The OCR engine reads the characters and rebuilds the table. Download the Excel file.
  4. Check numbers carefully against the original. OCR can confuse 1 and 7, 5 and 6 or 0 and 8 when the print is faint.

OCR uses credits per page; test one page first. Tips for better recognition are in our OCR accuracy guide, and they apply to English documents too.

Cleaning up the spreadsheet

A few Excel techniques fix most conversion issues in minutes:

  • Numbers stored as text. If totals show 0, the amounts were imported as text, often because of commas in Indian format (1,25,000.00) or "Cr"/"Dr" suffixes. Select the column, use Data โ†’ Text to Columns โ†’ Finish, or use Find & Replace to remove "Cr", "Dr" and spaces.
  • Dates as text. Statements use formats such as 05/04/2026 or 05-Apr-26. Use Text to Columns and choose the DMY date format so Excel does not read them as American month/day dates.
  • Descriptions split over two rows. Narrations like UPI references sometimes wrap onto a second line. Sort or filter by an empty date column to find those rows, and join them with the row above using =A2&" "&A3 before deleting the extra row.
  • Header rows on every page. Each PDF page repeats the column headers. Filter the date column for the header text and delete those rows.
  • Opening and closing balance check. After cleaning, check that opening balance + credits โˆ’ debits equals the closing balance. If it matches, no rows were lost.

Useful things to do once the data is in Excel

  • Create a pivot table to total spending by month or by merchant.
  • Use filters to list all UPI payments to a specific person, or all interest credits for your tax return.
  • Use SUMIF to total rent, EMI or salary entries.
  • Match GST invoices with payments received using XLOOKUP or VLOOKUP on the invoice number.

Privacy considerations

Bank statements contain your account number, balance and transaction history. With digital PDFs, the free PDF to Excel tool keeps everything in your browser, which is the safest option. Scanned statements must be uploaded for OCR; files are sent over HTTPS and used only to create your spreadsheet, as set out in our Privacy Policy. Remove pages you do not need before uploading, using Extract PDF Pages.

Summary

  1. Check whether the PDF is digital or scanned.
  2. Unlock it with the password from your bank.
  3. Use free PDF to Excel for digital PDFs, OCR Convert to Excel for scans.
  4. Clean numbers, dates and header rows, then verify the balances.
