How to Convert a Scanned PDF into an Editable Word Document

Turn a scanned PDF or photo into an editable Word document with OCR, keep the layout tidy and fix the common recognition errors quickly.

You have an old agreement, a printed report or a typed letter as a scanned PDF, and you need to change a few lines. Retyping ten pages takes hours. With OCR (optical character recognition) you can turn the scan into an editable Word document in minutes, then spend your time checking and editing instead of typing. This guide explains how to convert a scanned PDF to Word, what to expect from the layout, and how to clean up the result efficiently.

Scanned PDF or digital PDF?

Try selecting a sentence in the PDF. If you can, the PDF already contains text and a normal conversion is enough; you can use the free PDF to Word tool, which runs in your browser. If the PDF behaves like a picture and nothing can be selected, it is a scan and you need OCR: use PDF to Word (OCR). For photos of pages rather than PDFs, use Convert to Word, which accepts images.

Prepare the scan for best results

  • Remove unnecessary pages. OCR is charged per page. Keep only the pages you need with Extract PDF Pages.
  • Straighten pages. Rotate sideways pages with Rotate PDF. Tilted text lowers accuracy.
  • Unlock protected files. If the PDF needs a password, remove it first with Unlock PDF.
  • Rescan poor pages. If you still have the paper, a 300 DPI scan in greyscale gives OCR the best chance. Faint photocopies and phone photos in dim light produce more errors.

Step-by-step: scanned PDF to Word

  1. Open PDF to Word (OCR).
  2. Upload the PDF. The file is sent over an encrypted connection to our server, where the OCR runs.
  3. Choose the document language, for example English, Hindi or both. The right language setting greatly improves accuracy.
  4. Start the conversion. When it finishes, download the .docx file.
  5. Open it in Microsoft Word, Google Docs, WPS Office or LibreOffice Writer and review it.

What to expect from the layout

OCR recognises the text reliably on clean scans, but recreating the exact visual layout is harder. Here is what typically happens:

ElementTypical result
Paragraphs and headingsRecognised well; fonts are replaced with standard fonts
Bold and italicPartly recognised; check important formatting
TablesSimple tables usually survive; complex ones may need fixing. For data tables, Convert to Excel is better
Two-column layoutsText is kept, columns may become one flow
Stamps, logos, signaturesNot converted to text; may be dropped or kept as images
HandwritingGenerally not reliable

Cleaning up the Word document quickly

  • Use spell check first. Most OCR errors look like spelling mistakes: "rn" read as "m", "cl" as "d", "1" as "l". Word's red underlines lead you straight to them.
  • Find & Replace recurring errors. If the same mistake appears many times, fix it everywhere at once with Ctrl+H.
  • Remove manual line breaks. Scans sometimes produce a line break at the end of every line. In Word, use Find & Replace with ^p carefully, or join paragraphs manually where needed.
  • Apply styles. Select the whole document and apply the "Normal" style, then set headings with Heading 1/2 styles. This fixes inconsistent fonts in one go.
  • Check numbers and names against the original. Spell check does not catch a wrong digit in an amount, date or account number.

Hindi and bilingual documents

For Hindi or mixed Hindi-English documents, choose the corresponding language before converting. The output uses Unicode Hindi, which works in Word with fonts such as Mangal or Nirmala UI. For more tips, read our Hindi OCR guide.

Turning it back into a PDF

Once you have edited the document, you will often need to send it as a PDF again. Save as PDF from Word (File โ†’ Save As โ†’ PDF), or use Word to PDF in your browser. If you need to sign it, follow how to sign a PDF online.

Privacy and copyright

OCR files are processed on our server and used only to create your document, as described in our Privacy Policy. Make sure you have the right to copy and edit the document, especially with published books or third-party reports.

Summary

Check whether the PDF is really scanned, prepare clean and upright pages, choose the correct language, convert with OCR, then use spell check and styles to tidy the document. For a few pages, this takes minutes instead of hours of retyping.
