Printing a document, signing it with a pen, scanning it and emailing it back takes time and needs a printer and scanner that most people do not have at home. For many everyday documents, such as rent agreements shared for review, offer letters, school consent forms, vendor quotations and internal approvals, you can add your signature to the PDF directly on your phone or computer. This guide shows how to sign a PDF online, how to make your signature look natural, and when an electronic signature is not enough.
Three ways to create your signature
- Draw it. Use your finger on a phone, a stylus on a tablet, or a mouse or touchpad on a computer. Drawing on a phone usually looks the most natural.
- Type it. Type your name and choose a handwriting-style font. This is quick and neat, and acceptable for many informal approvals.
- Upload an image. Sign on white paper, take a photo and upload it. This gives you your real pen signature. Crop closely around the signature first with Crop Image.
Step-by-step: sign a PDF
- Open Sign PDF and choose your PDF. It opens in your browser; the document is not uploaded.
- Create your signature by drawing, typing or uploading it.
- Tap or click on the page where the signature should go, usually above a line marked "Signature" or next to your name.
- Drag the corners to resize it. A signature roughly as tall as two lines of text looks natural.
- If needed, add your initials on every page (common in agreements) and the date next to the signature.
- Download the signed PDF and open it to check that the signature appears on the correct pages.
Tips for a professional result
- Avoid a grey box around an uploaded signature. A photo taken in poor light has a grey or yellow background that looks pasted on. Sign on clean white paper, photograph it in daylight and crop tightly; drawing the signature directly in the tool avoids the problem completely.
- Choose dark blue or black. These look like real ink and print clearly.
- Keep it the same as your official signature. Banks, employers and government offices compare signatures, so use the one that appears on your ID documents and bank records.
- Fill in the form fields first. If the PDF has fields for name, address and date, fill them before signing. Our Edit PDF tool lets you add text anywhere on the page.
- Flatten the final file if you do not want others to move your signature. Flatten PDF merges annotations into the page.
Is a signature added this way legally valid in India?
It depends on the document. In India, the Information Technology Act, 2000 recognises electronic signatures, and the strongest form is a digital signature certificate (DSC) or Aadhaar-based eSign, which cryptographically links the signature to your identity. These are required for things like company filings with the MCA, income tax filings in some cases, and e-tenders.
A picture of your signature placed on a PDF, which is what most "sign PDF" tools do, is an image, not a cryptographic digital signature. For many day-to-day purposes, both parties accept it, the same way a scanned signed page is accepted. For documents such as property sale deeds, wills, affidavits and anything that must be registered or notarised, follow the official process, which usually means a physical signature or certified eSign. When in doubt, ask the person or office receiving the document what they accept. This guide is general information, not legal advice.
Signing on a phone
Phones are excellent for drawing signatures because you sign with your finger on a touch screen. Turn the phone to landscape when drawing for more space, and sign slowly. If the PDF came via WhatsApp or email, save it to your phone first: on Android it usually goes to Downloads; on iPhone, use Share โ Save to Files.
Keeping signed documents secure
A PDF with your signature is a sensitive file. A few habits help prevent misuse:
- Send signed documents only to the person who asked for them, preferably by email rather than group chats.
- Add a password before emailing confidential agreements; see how to password-protect a PDF.
- Do not keep a loose image of your signature in shared folders or on shared computers.
- Because Ocr4you's Sign PDF works in your browser, neither the document nor your signature image is stored on our server.
Common questions
Can several people sign the same PDF?
Yes. Each person opens the latest signed copy, adds their signature and passes it on. Keep the file names clear, for example agreement-signed-owner-tenant.pdf.
I need my signature as an image for an exam form
That is a different task: exam portals need a JPG of a certain size. Follow our photo and signature resize guide.
Can I combine the signed pages with other documents?
Yes, use Merge PDF. See our mobile merging guide.
Try it now: Sign PDF is free to start and works on mobile and desktop.
