Not every upload limit is tiny. University admission portals, scholarship schemes, tender submissions, visa applications and many office systems allow 500 KB, 1 MB or 2 MB per file. That sounds generous until you scan a 20-page project report, a set of semester marksheets or a property document in colour and end up with 15 MB. This guide shows how to bring larger, multi-page PDFs under 500 KB or 1 MB while keeping every page readable.
Check the exact limit. Upload limits vary by portal and change over time. Some count 1 MB as 1,000 KB and others as 1,024 KB. Use the value stated in the official notice or on the upload page, and aim a little below it.
Why multi-page PDFs get large
File size grows with every page. A typical phone scan of an A4 page in colour is 300 KB to 1 MB. Twenty such pages easily make 10 MB or more. Digital PDFs exported from Word or Excel are much smaller, but they can grow large if they contain high-resolution photos, scanned signatures or embedded fonts.
A useful way to think about it is a budget per page. For a 1 MB limit and a 10-page document, you have about 100 KB per page. For 500 KB and 20 pages, about 25 KB per page. Those numbers tell you how aggressive the compression needs to be, and whether greyscale or removing pages is necessary.
Step-by-step: compress to 500 KB or 1 MB
- Open Compress PDF to 500 KB or Compress PDF to 1 MB. For other values, use Compress PDF and type your own target size.
- Select the PDF. The file is processed in your browser and is not uploaded.
- The tool tries several quality levels and keeps the best one under the target.
- Download, then open the result and zoom in on the smallest text, tables and signatures on several pages, not just the first.
When the target cannot be reached
If the result is still too big, or meets the size but becomes hard to read, work through these steps:
1. Remove pages that are not required
Instructions pages, blank backs, duplicate copies and annexures that the form did not ask for all consume your budget. Remove them with Remove PDF Pages, or keep only what you need with Extract PDF Pages.
2. Use greyscale
Most documents do not need colour. Greyscale pages are dramatically smaller. Choose the grayscale option in Compress PDF. Keep colour only if the form specifically asks for colour scans, for example of photographs.
3. Crop the margins
Phone scans often include a dark border or the table surface. Removing it with Crop PDF both improves the look and reduces size. Our guide on cropping PDFs explains how.
4. Rebuild from images
If you still have the original photos, compress them with Compress Image and convert them again with JPG to PDF on A4 size. Starting fresh often beats compressing an already compressed PDF.
5. Split into parts
If the portal allows several uploads, split the document logically, for example one file per year, with Split PDF.
Digital PDFs: keep the text sharp
If your PDF was created from Word or another program and contains real text, compression that turns pages into images can make the text slightly soft and no longer selectable. For such files, try the lossless option first, which keeps text and links exactly as they are and only optimises the internal structure and images. If it is still too large, the large images inside are usually the cause; extract and check them with Extract Images from PDF, or replace them with smaller versions in the original document and export again.
Typical results
| Document | Original | Readable result |
|---|---|---|
| 10-page colour scan of marksheets | 8–12 MB | Around 1 MB in colour, often 400–600 KB in greyscale |
| 30-page project report exported from Word | 3–6 MB | Often under 1 MB with lossless optimisation |
| 5-page property document photographed on a phone | 10 MB | 300–500 KB in greyscale after cropping |
These are rough examples; actual results depend on your files.
Quality checklist
- Every page is present and in order.
- Small print, table figures, stamps and signatures are readable at 100% zoom.
- Photographs, if any, are still recognisable.
- The file opens without a password and is below the limit.
Other sharing situations
For email and WhatsApp the limits are different and the goal is usually speed rather than a fixed size; read how to reduce PDF size for email and WhatsApp. For strict 100 KB or 200 KB limits, see our government forms guide. Prefer Hindi? Read PDF का साइज़ कैसे कम करें.
A quick workflow that usually works
For most scanned forms, this order gives the smallest readable file. First crop each page photo to the paper edges. Next, resize the photos to about 1200–1600 pixels wide. Then build the PDF with JPG to PDF and finish with Compress PDF at a medium level. Check the size, and only move to a stronger level if you need to. Keep the original files until the portal accepts your upload, so you can start again from good-quality material if the text becomes hard to read.
