How to Compress a PDF to 100KB or 200KB for Government Forms

How to reduce a PDF to under 100 KB or 200 KB for online government, exam and job forms without making it unreadable. Free, no upload.

Almost every online application in India has a file size limit. Scholarship portals, state recruitment boards, university admissions, passport and PAN services, and many bank and insurance forms ask you to upload certificates or ID proofs as a PDF "not exceeding 100 KB" or "maximum 200 KB". A phone scan of a single certificate is often 1โ€“3 MB, and a multi-page scan can be 10 MB or more. This guide explains why PDFs get so large, how to bring them under the limit, and how to keep the text readable for the officer who checks your documents.

Check the official notice first. Size limits, page counts and formats differ between portals and even between years of the same exam. The numbers in this guide are only examples. Always confirm the exact requirement in the official notification or on the upload page before you submit.

Why is my scanned PDF so big?

A scanned PDF is really a set of photos wrapped in a PDF file. Its size depends mainly on three things:

  • Resolution. Phone scanner apps often save each page at 300โ€“600 DPI or at the full camera resolution of 12 megapixels or more. That is far more detail than a portal needs.
  • Colour. A colour page stores three times the information of a greyscale page. Background shading and paper texture also add data.
  • Number of pages. A five-page marksheet is roughly five times the size of a one-page one, so a 100 KB limit for five pages means about 20 KB per page.

Digital PDFs, such as a certificate downloaded from DigiLocker or an e-Aadhaar, are usually already small because they contain real text instead of photos. If such a file is still too large, it typically contains a large embedded image like a photo or logo.

Step-by-step: compress a PDF to 100 KB

  1. Open the Compress PDF to 100 KB tool. For a 200 KB limit, use Compress PDF to 200 KB. The pages work in Chrome on Android, Safari on iPhone and any desktop browser.
  2. Tap the upload area and select your PDF from the phone storage, Downloads folder or Google Drive. The file is processed in your browser and is not uploaded to a server, which matters for ID documents.
  3. The tool aims for the target size automatically. It reduces image resolution and quality step by step until the file fits under the limit.
  4. Download the result and check the file size shown by your phone or computer. Many portals count 1 KB as 1,024 bytes, so aim a little below the limit, for example 90โ€“95 KB for a 100 KB limit.
  5. Open the compressed PDF and zoom in. Make sure your name, roll number, date of birth, marks and any stamps or signatures are still clearly readable. This check is the most important step.

If the PDF will not go below the limit

Sometimes a file with many pages simply cannot be made small enough without becoming unreadable. Try these fixes in order:

  1. Remove pages that are not needed. Blank backs of pages, instruction sheets and duplicate copies add size. Use Remove PDF Pages or Extract PDF Pages to keep only what the form asks for.
  2. Rescan in greyscale or black and white. Most certificates are readable in greyscale, and a black-and-white scan of a typed page is tiny. In scanner apps like Google Drive's scan feature or Microsoft Lens, choose the "Black & white" or "Document" filter.
  3. Crop the edges. Dark table surfaces and fingers around the page waste space. Crop PDF removes them.
  4. Start from images. If you have the original photos, compress each image first with Compress Image, then combine them with JPG to PDF. This gives you more control over each page.
  5. Split the document. Some portals allow several uploads, for example one file per semester. Split PDF separates the pages into smaller files.

How small is too small?

A compressed document is only useful if it can be read. As a rough guide, one A4 page of typed text stays readable at around 20โ€“40 KB in greyscale. A colour certificate with a seal and a photograph needs more, often 60โ€“100 KB for one page. If your file gets below the limit but the small print turns into blurry blocks, go back and use one of the methods above instead of compressing harder. A rejected document or a mismatch during verification costs far more time than a rescan.

Common mistakes to avoid

  • Uploading a photo renamed to .pdf. Changing the file extension does not convert the file, and portals reject it. Convert properly with JPG to PDF.
  • Password-protected PDFs. Bank statements and some e-documents come locked. Many upload systems cannot open them. If you know the password, remove it with Unlock PDF before compressing.
  • Sideways pages. Rotate pages with Rotate PDF so the verifying officer does not have to.
  • Wrong document in the wrong field. Name your files clearly, for example class10-marksheet.pdf and caste-certificate.pdf, so you upload the right one in each box. Batch Rename helps when you have many files.
  • Leaving it to the last day. Portals slow down close to the deadline. Prepare and test your files a few days early.

Is it safe to compress ID documents online?

Many online compressors upload your file to their server. With Ocr4you's PDF tools, compression happens inside your browser using JavaScript, so your Aadhaar, PAN card or marksheet never leaves your device. You can even switch on flight mode after the page has loaded and the tool still works. Whatever tool you use, avoid uploading identity documents to sites you do not trust, and delete copies you no longer need from shared computers in cyber cafรฉs.

Quick checklist before you submit

  • File type is PDF (not JPG renamed to PDF).
  • Size is below the limit stated in the official notice, with a small margin.
  • All pages are upright, in the right order and complete.
  • Name, numbers, seals and signatures are readable when zoomed in.
  • The PDF opens without a password.

Once your PDF is ready, you may also need a photo and signature in a specific size. Our guide on resizing photos and signatures for exam forms covers that next step.
