How to Edit a PDF Online: Add Text, Fill Forms and Fix Mistakes

Fill a non-fillable PDF form, add text, dates and ticks, cover a typo, and add a signature, in your browser with no software.

Many PDFs you receive in India are not real "fillable" forms. Bank KYC updates, school admission forms, reimbursement claims and society NOC formats are often scanned or exported as flat PDFs. The usual routine is to print, fill in by hand, scan and send back. You can skip all of that by typing directly onto the PDF in your browser: add text, dates, tick marks and a signature, then download the completed file. This guide shows how, and how to make the result look neat and official.

What you can do with Edit PDF

  • Add text anywhere on a page: names, addresses, amounts, dates.
  • Fill non-fillable forms by placing text on the blank lines and boxes.
  • Add tick marks or crosses in checkboxes.
  • Sign with a drawn, typed or uploaded signature.
  • Annotate with highlights, shapes and comments for review.
  • Cover a small mistake with a white box and type the correction on top.

Everything runs inside your browser. The PDF is not uploaded, which matters for forms that contain your bank details, Aadhaar number or medical information.

Step-by-step: fill a PDF form

  1. Open Edit PDF and choose your PDF.
  2. Select the text tool and tap or click where the first entry should go, for example next to "Name".
  3. Type the text. Adjust the font size so it fits the line; 10โ€“12 pt is typical for forms.
  4. Move to the next field. Drag text boxes to fine-tune their position.
  5. Add ticks in checkboxes and the date where required.
  6. Sign at the bottom (see below), then download the edited PDF.

Tips for a neat, official-looking result

  • Zoom in while placing text so it sits exactly on the line, not above or through it.
  • Use one font and size throughout. Mixed sizes look careless.
  • Use black or dark blue text, like pen ink.
  • Write in capital letters if the form says "fill in BLOCK LETTERS".
  • Follow date formats requested on the form, such as DD/MM/YYYY.
  • Leave official sections blank, such as "For office use only".

Signing the form

Choose the signature option, then draw your signature with a finger or mouse, type it, or upload a photo of your signature on white paper. Place and resize it in the signature box. If the form needs a signature on every page, use Sign PDF, which is designed for signatures, initials and dates. Read our guide to signing PDFs for tips and an explanation of when a pasted signature image is acceptable and when an official digital signature is needed.

Correcting mistakes in a PDF

For a small typo in a PDF you created or have the right to change, you can draw a white rectangle over the wrong word and type the correct word on top. This works well visually, but be aware of two things:

  • The original text may still exist underneath the white box and can be revealed by copying text or using other software. Do not use this method to hide sensitive information; use Redact PDF, which removes it permanently. See our redaction guide.
  • Changing the content of official documents issued by others (certificates, bills, statements) is not acceptable and may be illegal. Only edit your own documents or forms you are meant to fill in.

For larger changes to a document you own, edit the original Word file and convert it again with Word to PDF, or convert the PDF to Word first with PDF to Word.

Lock your entries in place

After editing, the text and signature are annotations on top of the page, which some PDF programs let others move or delete. To merge them permanently into the page, run the file through Flatten PDF. This is a good idea before sending signed forms.

Working with scanned forms

If the form is a crooked phone scan, the text you add will not line up with tilted lines. Fix the scan first:

  1. Rotate pages with Rotate PDF.
  2. Crop borders with Crop PDF.
  3. If possible, ask for a digital copy of the form; many offices have them on their website.

Our guide to scanning documents with your phone explains how to get straight scans in the first place.

Filling forms on a phone

Edit PDF works in Chrome on Android and Safari on iPhone. Turn the phone sideways for a wider view and zoom into each field before placing text. For long forms with many fields, a laptop is more comfortable, but a phone is fine for a one-page form.

Before you send it

  • Read the form once more for missed fields.
  • Attach required documents into one file with Merge PDF if the office prefers a single attachment.
  • Compress if the email or portal has a limit, using Compress PDF.
  • Name the file clearly, for example Reimbursement-Claim-Oct2026-Name.pdf.
  • Keep a copy for your records.

Common questions

Is a typed form acceptable instead of a handwritten one?

Most organisations accept typed forms, and they are easier to read. If the form explicitly says "to be filled in own handwriting", follow that instruction.

Can I add a photo to the form?

Yes, Edit PDF lets you place an image. For a passport photo, prepare it first with Resize Photo for Passport.

Will the edited PDF look the same when printed?

Yes. Print at "Actual size" so the text stays aligned with the form's lines.
