How to Convert Your Word Resume or Assignment to PDF

Why recruiters and colleges want PDF, how to convert a Word resume or assignment to PDF, keep fonts and layout, and name the file properly.

Recruiters, HR portals, colleges and teachers increasingly insist on PDF for resumes, cover letters, assignments and project reports. A Word file that looks perfect on your laptop can open with shifted lines, missing fonts or a two-page resume that suddenly spills onto three pages on someone else's computer or phone. PDF fixes the layout so everyone sees exactly what you designed. This guide shows how to convert Word to PDF properly and avoid the small mistakes that make a document look unprofessional.

Why PDF is better for resumes and submissions

  • Layout stays fixed. Fonts, spacing, bullet points and page breaks look the same on Windows, Mac, Android and iPhone.
  • It cannot be edited accidentally. A reviewer cannot change your text by mistake.
  • It opens everywhere. Every phone and browser can display a PDF without Microsoft Office.
  • Applicant tracking systems read it. Most modern ATS software extracts text from digital PDFs well, as long as the PDF contains real text and not a scanned image.

Some employers specifically request a .docx file so they can parse or edit it. If the job post asks for Word, send Word; otherwise PDF is the safer choice.

Convert Word to PDF in your browser

  1. Open Word to PDF.
  2. Select your .docx file. The conversion runs in your browser; the document is not uploaded.
  3. Download the PDF and open it.
  4. Check every page: line breaks, bullet alignment, tables and headings.

Browser conversion works well for typical resumes, letters and assignments. Very complex documents with text boxes, unusual fonts, SmartArt or tracked changes may look slightly different, so always compare with the original.

Alternative: export from Word or Google Docs

If you have the program installed, exporting directly from it gives the most faithful result:

  • Microsoft Word: File โ†’ Save As โ†’ PDF or File โ†’ Export โ†’ Create PDF/XPS. Choose "Standard" for best quality.
  • Google Docs: File โ†’ Download โ†’ PDF document.
  • WPS Office or LibreOffice: both have "Export to PDF" in the File menu.
  • On a phone: open the document in the Word or Docs app, then use Share or Print and choose "Save as PDF".

Resume checklist before converting

  • Use common fonts. Calibri, Arial, Garamond, Georgia and similar fonts convert reliably. Decorative fonts may be replaced.
  • Remove comments and tracked changes. Accept or reject all changes; otherwise they may appear in the PDF.
  • Fix the page count. One page for freshers, two at most for most experienced roles. Look for a stray empty last page caused by an extra line break.
  • Make links clickable. LinkedIn, GitHub and portfolio links in Word stay clickable in an exported PDF.
  • Keep photos small. A large profile photo can make the PDF several MB. Compress it with Compress Image before inserting. Many recruiters in India do not require a photo; include one only if expected.
  • Proofread names, phone number and email one last time.

Name the file professionally

"Resume_final_new(2).pdf" does not inspire confidence. Use a clear pattern such as Firstname-Lastname-Resume.pdf or RollNo-Name-Assignment3.pdf if your college specifies one. Recruiters download hundreds of files, and a clear name helps them find yours.

Assignments and project reports

Students submitting through Google Classroom, Moodle or college portals often need a few extra steps:

  1. Add page numbers if the guidelines ask for them, with Add Page Numbers. See how to number a project report.
  2. Combine parts such as a cover page, certificate, declaration and main report with Merge PDF.
  3. Add handwritten or scanned pages like signed declarations by converting photos with JPG to PDF and merging them.
  4. Check the size limit of the portal and compress with Compress PDF (choose Lossless first to keep text sharp).

Fixing common conversion problems

The PDF has a blank last page

Remove extra empty paragraphs at the end of the Word file, or delete the page from the PDF with Remove PDF Pages.

Hindi or regional text looks wrong

Use Unicode fonts such as Mangal, Nirmala UI or Noto Sans Devanagari in the Word file. Legacy fonts like Kruti Dev may not display correctly elsewhere.

Tables break across pages

In Word, set table rows to "not break across pages" and insert a page break before large tables.

I need to change something after converting

Edit the original Word file and convert again; that keeps quality highest. For a quick one-line fix in a PDF, use Edit PDF, explained in our PDF editing guide.

Other formats to PDF

The same principle applies to spreadsheets and presentations. See how to convert Excel to PDF on one page and how to convert PowerPoint to PDF. Plain notes can be turned into a PDF with Text to PDF.

Naming and sending your resume

Recruiters receive hundreds of files called "resume.pdf". Name yours clearly, for example Priya-Sharma-Resume-Data-Analyst.pdf, so it is easy to find later. Keep the file small, ideally under 1 MB, because some job portals and applicant tracking systems reject large uploads. If a scanned certificate must go with it, merge the files into one PDF with Merge PDF only if the employer asks for a single file; otherwise send separate, clearly named files. Before sending, open the PDF on your phone once to check that links work and the layout holds.

Summary

Clean up your Word file, convert it to PDF, check every page, name it clearly and compress only if the portal requires it. A tidy PDF is a small detail that makes a strong first impression.
