Universities, schools and offices often require page numbers on project reports, dissertations, theses, legal files and tender documents. Adding them in Word is easy until the document is assembled from several PDFs: a cover page from the department, a scanned certificate, a declaration signed by hand, and the main report exported separately. This guide shows how to add page numbers directly to a finished PDF, skip the cover page, use roman numerals for front matter, and match common formatting guidelines.
Follow your institution's format. Universities and offices have their own rules for position, font and numbering of preliminary pages. The conventions below are common, but your department's handbook or the tender document always takes priority.
Step-by-step: add page numbers
- First assemble the final document. Combine all parts in order with Merge PDF.
- Open Add Page Numbers and select the PDF. It runs in your browser; the file is not uploaded.
- Choose the position: bottom centre, bottom right, top right and so on.
- Choose the format: plain numbers (1, 2, 3), "Page 1 of 20", roman numerals (i, ii, iii) or letters.
- Set the first page to number and the starting number, so the cover is skipped or the count begins where you need it.
- Use the live preview to check placement, then download.
Common numbering conventions
| Part of the document | Common practice |
|---|---|
| Cover / title page | Counted but not numbered |
| Certificate, declaration, acknowledgements, abstract, contents | Lowercase roman numerals (i, ii, iiiโฆ) |
| Chapters from the introduction onwards | Arabic numerals starting at 1 |
| Appendices | Continue Arabic numerals, or use A-1, A-2 if required |
| Legal or court files | Every page numbered consecutively, often top right |
Roman numerals for front matter, Arabic for the rest
To produce the two-part numbering used in many theses:
- Split the document into the front matter and the main body with Split PDF.
- Number the front matter with roman numerals, starting from the page after the cover (or from the cover, hidden, depending on your rules).
- Number the main body with Arabic numerals starting from 1.
- Merge the two parts back together with Merge PDF.
Check the table of contents afterwards: the page numbers it lists must match the numbers now printed on the pages.
Placement and style tips
- Avoid overlapping content. Scanned pages often have text near the bottom edge. Preview several pages, especially scanned ones, and move the numbers to a margin that is clear on all pages.
- Leave space for binding. If the report will be spiral-bound or hard-bound on the left, do not place numbers on the left edge.
- Keep it subtle. A small, plain font in black or grey looks professional.
- Be consistent with Word-numbered pages. If part of the document already has page numbers from Word, either remove them at the source or number only the parts that do not have them.
Numbering legal and office files
Courts, tenders and government offices often require every page to be numbered, sometimes in the format "Page 3 of 48", so that a missing page is immediately noticed. Steps:
- Assemble all annexures in the required order.
- Rotate any sideways pages with Rotate PDF (see our rotation guide), so that the numbers appear in the right place.
- Add "Page X of Y" numbering, usually at the top right or bottom right.
- Optionally add a watermark such as "Copy" or your firm's name with Add Watermark.
- Flatten the result with Flatten PDF so the numbers become part of the page.
Before you submit
- Scroll through the whole PDF and confirm there are no gaps or duplicates.
- Check that the table of contents matches.
- Compress if the portal has a size limit, using Compress PDF with the lossless option to keep text crisp. See our 500 KB and 1 MB guide.
- Name the file as instructed, for example with your roll number.
Creating the PDF from Word first
If your report is written in Word, convert it to PDF before adding numbers to the assembled file, or use Word's own page numbering for the main text and add numbers in the PDF only to the parts that come from elsewhere. Our Word to PDF guide explains how to convert cleanly.
Common questions
Can I start numbering from a number other than 1?
Yes. Set the starting number, for example 25, if your document continues from a previous volume.
Can I remove page numbers I added by mistake?
Numbers added to a PDF become part of the page, especially after flattening. Keep a copy of the unnumbered file so you can redo it.
Do page numbers increase file size?
Barely. The numbers are tiny text elements.
Page numbers for court, office and college documents
Many institutions expect numbered pages in long submissions: affidavits and annexures, project reports, tender documents and theses. Use simple numbers in the bottom centre or bottom right, keep the font size modest, and make sure the numbers do not overlap existing footers or stamps. If an index lists annexures by page, number the final merged PDF, not the separate parts, so the index matches. Follow any formatting rules given by your institution or court registry, because some have specific requirements.
Summary
Assemble the final PDF first, choose position and format, skip or separately number the front matter, preview on scanned pages, and check the table of contents. Then compress and submit.
