You have spent hours on a presentation for a class, a client pitch or a seminar. Sent as a .pptx file, it may open with different fonts, shifted text boxes, missing videos or not at all on a phone without PowerPoint. Converting it to PDF locks the design so it looks the same everywhere, makes it smaller and easier to share on WhatsApp or email, and is often required by colleges, conference organisers and procurement portals. This guide shows how to convert PowerPoint to PDF and prepare it for sharing and printing.
When to share a PDF instead of PPTX
- Sharing for reading: classmates, clients or managers who just need to read the slides.
- Submissions: assignments, conference papers and tender presentations often specify PDF.
- Printing handouts: PDFs print consistently at any print shop.
- Phones: PDFs open on every phone; PPTX files need an app and may render incorrectly.
Share the PPTX when the recipient needs to edit it, or when you will present from their computer and need animations and embedded video.
Convert PowerPoint to PDF in your browser
- Open PowerPoint to PDF.
- Select your .pptx file. It is converted in your browser, without uploading.
- Download the PDF and check every slide.
The browser converter is approximate and works best with standard layouts, text, images and shapes. Complex animations, SmartArt, special fonts and embedded media may not appear exactly as in PowerPoint. For maximum fidelity, export from PowerPoint or Google Slides as shown below.
Export from PowerPoint, Google Slides or Keynote
- PowerPoint (Windows/Mac): File โ Save As โ PDF or File โ Export โ Create PDF/XPS. Under Options you can choose slides, handouts (several slides per page) or notes pages.
- Google Slides: File โ Download โ PDF document. Use File โ Print preview for handouts with notes or multiple slides per page.
- Keynote: File โ Export To โ PDF.
- Phone apps: use Share or Print and choose "Save as PDF".
Prepare the presentation first
- Animations do not carry over. In a PDF, every slide is static. If your slide reveals bullet points one by one, the PDF shows the final state. If the build-up matters, duplicate the slide for each step.
- Videos and audio are not included. Replace embedded videos with a thumbnail and a link, for example to YouTube.
- Fonts: use common fonts, or embed fonts in PowerPoint (File โ Options โ Save โ Embed fonts) before exporting.
- Hidden slides are usually excluded; unhide the ones you want.
- Speaker notes are not included in standard slide PDFs. Export "notes pages" if you want them.
- Links: hyperlinks usually remain clickable in exported PDFs. Test them.
Keep the PDF small
Presentations with many high-resolution photos can produce PDFs of 50 MB or more. To shrink them:
- In PowerPoint, use Picture Format โ Compress Pictures and choose a lower resolution such as 150 PPI for sharing.
- After exporting, run the PDF through Compress PDF.
- If one slide is huge, find the cause by extracting the images with Extract Images from PDF.
More tips are in how to reduce PDF size for email and WhatsApp.
Handouts and printing
Printing every slide on a full A4 page wastes paper. For handouts, export with 2, 3 or 6 slides per page from PowerPoint's print or export options. Three slides per page with lines for notes is popular for lectures. Print in greyscale if colour is not important, and check that light-coloured text on dark backgrounds remains readable.
Add slide or page numbers for easy reference during discussion, using PowerPoint's header and footer settings or Add Page Numbers on the PDF.
Protect your slides
For business proposals and confidential decks:
- Add a watermark such as "Confidential โ prepared for XYZ Ltd" with Add Watermark.
- Protect the file with a password using Protect PDF, and share the password separately. See our password guide.
Converting PDF back to slides
If you have a PDF and need slides, PDF to PowerPoint turns each page into a slide. For scanned handouts with text you want to edit, Convert to PowerPoint (OCR) recognises the text first.
Checklist before sharing
- All slides present and in order; no hidden slides missing.
- Fonts and layout correct; no text overflowing boxes.
- Final state of animated slides makes sense.
- Videos replaced with links.
- File size suitable for email or WhatsApp.
- File named clearly, for example Team-Name-Project-Presentation.pdf.
Submitting presentations to colleges and conferences
Institutions often specify a file naming pattern, a maximum size and sometimes a slide limit. Read the instructions or the official notice carefully, as these vary between events. Put your name, roll number or paper ID on the title slide, keep the file within the size limit, and avoid last-minute uploads, because portals slow down near deadlines. Keep both the PPTX and PDF versions; organisers sometimes ask for the editable file later.
Common questions
Can I convert several presentations into one PDF?
Convert each to PDF, then combine them with Merge PDF.
Will the PDF look the same on a phone?
Yes. That is the main advantage of PDF. Slides are wide, so viewers may rotate their phone for a larger view.
For spreadsheets, see how to convert Excel to PDF on one page, and for documents, Word to PDF.
