How to Convert Excel to PDF and Fit the Sheet on One Page

Convert Excel sheets, price lists and attendance registers to PDF without cut-off columns: page setup, scaling, orientation and print areas.

By the Ocr4you Team ยท

Converting a spreadsheet to PDF should be simple, but the result often disappoints: a price list spills onto six pages with two columns each, an attendance register prints with the last column on a separate page, or a tiny table sits in the corner of a huge empty page. The fix is mostly in preparing the sheet before converting. This guide explains how to convert Excel to PDF and make it fit neatly, whether on one page or across several readable pages.

Quick conversion in your browser

  1. Open Excel to PDF.
  2. Select your .xlsx, .xls or .csv file. The conversion runs in your browser; the file is not uploaded.
  3. Download the PDF and review every page.

The browser converter is approximate: it handles common tables well, but complex formatting, charts, merged cells and conditional formatting may look different from Excel. For a pixel-perfect result with full control over page setup, export from Excel or Google Sheets as described below.

Prepare the sheet: the five settings that matter

1. Set the print area

Select only the cells you want in the PDF and choose Page Layout โ†’ Print Area โ†’ Set Print Area. Empty cells with stray formatting far down the sheet are a common reason for extra blank pages.

2. Choose orientation

Wide tables with many columns fit better in landscape. Long lists with few columns fit better in portrait.

3. Scale to fit

In Excel, Page Layout โ†’ Scale to Fit: set Width: 1 page and Height: Automatic. This keeps all columns on one page width while allowing the rows to continue onto more pages. Setting both to 1 page forces everything onto a single page, which is fine for small sheets but makes text unreadably small for large ones.

4. Repeat header rows

For multi-page tables, Page Layout โ†’ Print Titles โ†’ Rows to repeat at top prints the column headings on every page, so readers know what each column means.

5. Adjust margins and paper size

Choose A4 for Indian offices and printing. Narrow margins give a little more space. Centre the table horizontally for a polished look.

Export from Excel or Google Sheets

  • Excel: File โ†’ Save As โ†’ PDF or File โ†’ Export โ†’ Create PDF. Choose whether to export the active sheet, the selection or the entire workbook.
  • Google Sheets: File โ†’ Download โ†’ PDF. The export dialog lets you set paper size, orientation, "Fit to width", margins, gridlines and repeated headers.
  • Phone: in the Excel or Sheets app, use Share or Print and choose "Save as PDF".

Common problems and fixes

Columns cut off onto another page

Use "Fit all columns on one page" or Width: 1 page, switch to landscape, reduce column widths, or hide columns that are not needed in the PDF.

Text is too small to read

The sheet has too many columns for one page width. Hide unnecessary columns, shorten headings, wrap text in narrow columns, or split the table into two logical parts.

Blank pages at the end

Clear the formatting of unused rows and columns, or set a print area. You can also delete empty pages from the PDF with Remove PDF Pages.

Numbers show as ####

The column is too narrow for the value. Widen it before exporting.

Gridlines missing or unwanted

In Excel, Page Layout โ†’ Sheet Options โ†’ Gridlines: Print controls this. For a cleaner look, use cell borders instead of gridlines.

After converting

Going the other way

If you received a table as a PDF and need it back in Excel, use PDF to Excel for digital PDFs or Convert to Excel (OCR) for scanned ones. Our PDF to Excel guide covers cleaning up the result.

Checking the result before sending

Open the finished PDF and scroll through every page at normal zoom. Check that totals are on the same page as the table they belong to, that column headings appear at the top of each page, and that no column has been pushed onto a page of its own. Check that dates and currency formats came out correctly, especially if the sheet uses Indian formats such as lakh separators or DD/MM/YYYY dates. If something is off, fix it in the spreadsheet and export again rather than editing the PDF; the spreadsheet stays your master copy.

Summary

Set a print area, choose the right orientation, scale to one page width, repeat header rows and check the preview before exporting. For quick conversions without Excel installed, use the browser converter and review the result carefully.
