OCR to Excel: How to Convert a Scanned PDF or Image to a Spreadsheet

OCR to Excel free: convert a scanned PDF or table image into an editable Excel spreadsheet, then fix columns, numbers and dates in Excel or Sheets.

By the Ocr4you Team ยท

A spreadsheet is only useful if the numbers are actually in cells. When all you have is a scanned PDF of a report, a photo of a stock sheet or a PNG of a price list, the data is locked inside a picture and you cannot sort, filter or add it up. OCR to Excel fixes that: it reads the text and numbers in the scan and rebuilds them as rows and columns in an .xlsx file. This guide covers how to convert a scanned PDF or image to an Excel spreadsheet, how to prepare your files so the table comes out cleanly, and the quickest ways to tidy the data in Excel or Google Sheets afterwards.

Do you even need OCR? If you can select and copy text in your PDF, it is a "digital" PDF and a normal PDF to Excel conversion is enough. If the text cannot be selected, the PDF is a scan (just images of pages) and you need OCR. Not sure? Our article why can't I copy text from a PDF explains how to tell.

Two routes: scanned PDF or image

How to convert a scanned PDF to Excel with OCR

  1. Open PDF to Excel OCR.
  2. Upload your scanned PDF (up to 50 MB). You can add more than one file.
  3. Choose XLSX โ€“ the modern format that opens in Excel, Google Sheets, LibreOffice Calc and Numbers. Pick XLS only if you are stuck with Excel 2003 or older.
  4. Tick Enable OCR. Without it, a scanned PDF will come out empty or nearly empty.
  5. Click Convert to Excel and download the spreadsheet.
  6. Open it, check a few rows against the original and run the clean-up steps below.

How to convert an image of a table to Excel

  1. Open JPG to Excel and upload the photo or screenshot of the table.
  2. Click to extract, then copy the result or download it.
  3. Paste into a blank sheet. If everything lands in column A, use Text to Columns (explained below) to split it.

For a deeper walk-through of image tables, including bills and handwritten lists, see how to convert an image of a table to Excel. For bank statements specifically, our PDF to Excel OCR guide for bank statements covers debit/credit columns and running balances.

Prepare your scan for clean columns

Table OCR has two jobs: reading each character and working out which cell it belongs in. Most messy spreadsheets come from the second job going wrong. A few minutes of preparation helps a lot:

  • Scan straight. A table rotated by even a couple of degrees can shift numbers into the wrong row. Fix sideways or upside-down pages first with Rotate PDF.
  • Remove pages you do not need. Cover pages, terms and conditions and blank sheets just add junk rows. Delete them with Remove PDF Pages โ€“ see our guide to removing PDF pages.
  • Crop to the table. Logos, stamps and handwritten notes in the margin can be read as extra columns. Trim them with Crop PDF or Crop Image.
  • Use enough resolution. 300 DPI is a sensible target for scanning documents with small print. Phone photos should be sharp enough that you can read the smallest number when zoomed in.
  • Avoid shadows and glare. Glossy paper under a ceiling light often produces a bright patch that wipes out a column of figures.

Clean up the data in Excel or Google Sheets

Even a good conversion usually needs a little tidying before you can trust formulas. These are the fixes that come up most often.

Split one column into several

If a whole row lands in a single cell, select the column and use Data โ†’ Text to Columns in Excel (choose "Delimited" and tick Space or Tab, or use "Fixed width"). In Google Sheets, use Data โ†’ Split text to columns, or the formula =SPLIT(A2, " ").

Turn "text numbers" into real numbers

Numbers sometimes arrive as text โ€“ they are left-aligned and SUM ignores them. Remove stray spaces and currency symbols with Find & Replace (Ctrl+H), then use =VALUE(TRIM(A2)) or Excel's "Convert to Number" warning button. Watch for thousands separators: Indian-style grouping like 1,00,000 and US/UK-style 100,000 both need the commas removed before conversion.

Fix dates: DD/MM vs MM/DD

Dates are a classic trap. A UK or Indian document writes 03/04/2026 for 3 April, while US settings read it as March 4. If dates look wrong, check your regional settings or use Text to Columns โ†’ Date: DMY to tell Excel which order the scan uses.

Catch OCR look-alikes

Search for the letter O inside number columns (it should be zero), a lowercase l or capital I where a 1 belongs, and S where a 5 belongs. Conditional formatting with "Text that contains" is a fast way to highlight them.

Check totals

The simplest test of a financial table is to add up a column and compare it with the total printed on the original. If they match, the column is almost certainly right. If not, sort the column to find the odd value.

Real-world uses for OCR to Excel

  • Small businesses: turn supplier price lists, purchase orders and stock registers into searchable sheets.
  • Accountants and bookkeepers: bring scanned invoices and statements into a sheet for reconciliation.
  • Schools and colleges: convert printed attendance registers, mark sheets and timetables.
  • Researchers: extract data tables from scanned reports and older journal articles for analysis.
  • Households: track utility bills or expenses from photos of receipts โ€“ our receipt to text guide shows how.

Privacy and good practice

OCR conversions on Ocr4you are processed on our server, so your file is uploaded. For financial or personal documents, remove pages and columns you do not need before converting, and keep the original scan until you have checked the spreadsheet. If you need to share the cleaned sheet as a PDF later, Excel to PDF and our guide to fitting a sheet on one page will help.
