You have a PNG โ€“ a screenshot of an email, a slide exported from a presentation, a scanned letter or a chart someone sent you โ€“ and you need the words in it as real, editable text. Because a PNG is a picture, you cannot select or copy anything inside it, and retyping it line by line is slow and error-prone. A PNG to text converter uses OCR (optical character recognition) to read the letters in the image and give you plain text you can copy, edit, search or paste into Word, Google Docs or an email. This guide shows how to convert PNG to editable text for free, how to get clean results, and what to do when the output looks wrong.

What "PNG to text" actually means

PNG (Portable Network Graphics) stores an image as a grid of pixels. Even if the picture shows a paragraph, the file contains no characters at all โ€“ just coloured dots. OCR software looks at the shapes of those dots, works out which letters, numbers and punctuation they form, and writes them out as Unicode text. The result is a normal text file: you can change the font, fix a typo, run a spell check or translate it.

PNG is actually one of the friendliest formats for OCR. It uses lossless compression, so screenshots and exported graphics keep crisp edges around each letter instead of the fuzzy "halo" that heavy JPG compression can add. If you are choosing how to save an image that you plan to OCR later, PNG is a good default โ€“ our PNG vs JPG guide explains the trade-offs in more detail.

How to convert a PNG to text online (step by step)

  1. Open the PNG to Text Converter on Ocr4you in any browser โ€“ Chrome, Edge, Safari or Firefox, on a computer or phone.
  2. Drag your PNG onto the upload box or click to choose it. JPG, WEBP, GIF and TIFF files work the same way.
  3. Optionally pick the language of the text. English is the usual choice, but you can also choose Hindi and many other languages.
  4. Choose an OCR mode. Standard OCR is fastest for clean screenshots and scans; the AI modes are better for photos, shadows and low-quality images.
  5. Click Extract Text. Most images finish within about 30 seconds.
  6. Copy the text to your clipboard or download it as a TXT file, then paste it wherever you need it.

That is all there is to it โ€“ no software to install, and you can start without creating an account.

Which OCR tool fits your PNG?

Ocr4you has a few specialised OCR pages. Picking the right one saves a round of clean-up:

Tips for accurate PNG to text results

1. Start with the sharpest image you have

OCR accuracy depends mostly on how clearly each letter is drawn. Use the original PNG rather than a copy that has been forwarded through a chat app several times, because messaging apps often shrink and recompress images. If you are taking a screenshot yourself, zoom in so that body text is comfortably large on screen before you capture it.

2. Crop away everything you do not need

Menus, icons, logos and sidebars around the text you want can end up in the output as stray characters. Crop the PNG to just the paragraph or section you care about with Crop Image before you run OCR. Smaller, focused images are also faster to process.

3. Straighten tilted text

If the PNG is a photo of a page that is slightly rotated, lines can merge or break in the wrong places. Rotate it upright with Rotate Image, or use one of the AI modes, which cope better with skewed photos.

4. Watch out for low contrast

Light grey text on a white background, white text on a pale photo, or text over a gradient is harder to read. If you can, choose a version of the image with dark text on a light background. For dark-mode screenshots, the AI modes usually handle light-on-dark text better than Standard OCR.

5. Select the right language

Leaving the language on English for a page in another language is the most common reason for garbled output. When a PNG mixes languages โ€“ for example English labels with Hindi body text โ€“ choose the main language of the body text.

6. Proofread numbers and look-alike characters

Even a good OCR result can confuse characters that look alike: 0 and O, 1, l and I, rn and m, or a comma and a full stop. Always double-check phone numbers, email addresses, prices, dates and reference codes against the original image before you rely on them.

Common uses for converting PNG to editable text

  • Students: copy quotes from lecture slides or textbook screenshots into notes and essays (with a proper citation).
  • Office work: turn a PNG of a letter, notice or policy into an editable document instead of retyping it.
  • Developers and IT support: pull error messages or code out of a screenshot so you can search for them.
  • Social media and design: recover the wording from an old graphic or infographic when the source file is lost.
  • Accessibility: make text inside images available to screen readers, translation tools and text-to-speech apps.

From PNG text to Word, PDF or Excel

Once you have the text, you can paste it into Word or Google Docs and format it like any other document. If you want an editable Word file straight from a scan, see our guide to converting a scanned PDF to editable Word. If the PNG shows a table, rows and columns matter more than paragraphs โ€“ JPG to Excel keeps that structure, and our article on converting an image of a table to Excel walks through the clean-up. If you simply want to keep the PNG as a document, PNG to PDF creates a PDF with a searchable text layer.

Privacy: what to keep in mind

Image OCR on Ocr4you runs on our server, so your PNG is uploaded to be processed. For everyday material such as articles, slides and notes, that is not a concern. For sensitive images โ€“ ID cards, bank details, medical reports โ€“ crop out anything you do not need before converting, and read our guide on extracting text from ID cards safely.

When the result still looks wrong

  • Random symbols everywhere: the language setting is probably wrong, or the image is too small. Re-run with the correct language and a larger, sharper copy.
  • Lines in the wrong order: multi-column layouts (newsletters, brochures) can be read across columns. Crop each column into its own image and convert them one at a time.
  • Missing words at the edges: the text may be cut off or very close to the border. Leave a small margin when cropping.
  • Blurry photo of a screen: a photo taken of a monitor often has moirรฉ patterns. Take a proper screenshot instead, or use Screenshot to Text.

Frequently asked questions

How do I convert a PNG to text for free?

Open the PNG to Text Converter on Ocr4you, upload your PNG, choose the language and click Extract Text. Copy the result or download it as a TXT file. You can start without creating an account.

Can I convert PNG to editable text in Word?

Yes. Extract the text with OCR, then paste it into Word or Google Docs and format it like any document. For scanned PDFs, use PDF to Word (OCR) to get a .docx directly.

Does PNG give better OCR results than JPG?

Often, yes. PNG is lossless, so screenshots and graphics keep sharp letter edges. A high-quality JPG also works well; heavily compressed JPGs are the ones that cause errors.

Can OCR read handwriting in a PNG?

Yes, with a dedicated handwriting tool. Use Handwriting to Text for notes and filled-in forms, and expect to proofread more than with printed text.

Why is my PNG to text output full of errors?

The usual causes are a low-resolution image, the wrong language setting, low contrast or a tilted page. Use a sharper image, crop to the text, select the correct language and try an AI OCR mode.
